How we handle your information

This policy explains how RPS Oncology (Radiation Physics Services LLC, a Minnesota limited liability company, referred to here as RPS, we, or us) handles information connected with this website and our radiation therapist staffing, clinical physics, and dosimetry services.

Information we collect

From clinics and hospitals. When you request coverage or contact us, we receive what you choose to provide, such as your name, title, phone number, email address, facility name and location, the role you need, treatment platform, OIS, start date, and notes about the position.

From therapists and other candidates. When you apply or join our bench, we receive information such as your name, contact details, résumé, ARRT registration number, state licenses, clinical experience, and preferences about schedule, location, and type of work.

During credentialing and onboarding. If you move forward with an assignment or position, we collect additional information needed to credential and employ or contract with you, which may include background check, drug screening, immunization, and employment eligibility records. We collect that information only with your authorization, and you'll receive separate disclosures before any background check is run.

When you visit this site. This site doesn't use analytics, advertising, or tracking cookies. Like any website, the server that delivers it may keep standard logs such as IP address, browser type, and pages requested. Fonts are self-hosted on this site, so your browser does not connect to a third-party font service when a page loads.

How the request form works

When you submit a coverage request on our Clinics page or a bench application on our Therapists page, the details you entered are delivered to our team at contact@rpsoncology.com through the form handler on this site. We use your submission only to respond to your request, as described below.

Patient information

Please don't send protected health information or any other patient information through this website, the request form, or general email. When a clinical engagement requires access to patient information, that access is governed by the agreement with the facility, including a business associate agreement where HIPAA requires one.

How we use information

• To respond to inquiries and coverage requests
• To match candidates with assignments and permanent positions
• To credential, onboard, pay, and support therapists and staff
• To coordinate physics and dosimetry work with One Physics when you request it
• To meet legal, regulatory, tax, and accreditation obligations
• To protect the security of our business and the people we work with

How we share information

We don't sell personal information, and we don't share it for cross-context behavioral advertising. We share information only as needed:

• With client facilities, when we submit a candidate for a position the candidate has agreed to be considered for, including credentialing documentation the facility requires
• With service providers who help us operate, such as credentialing and background screening vendors, payroll and benefits providers, website form processing, and email and document hosting, each limited to the work they do for us
• With One Physics, when a clinic requests physics or dosimetry support, limited to the details of that request
• With licensing boards and regulators, for example when preparing a therapist's state licensure application
• When required by law, or to protect the rights, safety, or property of RPS, our clients, or others
• In a business transaction, such as a merger or sale, subject to this policy's protections

Retention and security

We keep information for as long as we need it for the purposes above, including recordkeeping that employment, tax, and healthcare regulations require. We use reasonable administrative, technical, and physical safeguards to protect it. No method of transmission or storage is completely secure, and ordinary email in particular isn't encrypted end to end, so please use a phone call for anything you consider sensitive.

Your choices

You can ask us to access, correct, or delete the personal information we hold about you, or to stop contacting you, by emailing contact@rpsoncology.com. Depending on where you live, you may have additional rights under state privacy law. We'll respond within the time the law requires and may need to verify your identity first. Some records must be kept for legal or regulatory reasons even after a deletion request.

Children

This site and our services are intended for healthcare organizations and working professionals. We don't knowingly collect information from children under 16.

Changes to this policy

If we change this policy, we'll post the updated version here with a new effective date.
